Information on the processing of personal data for the recruitment process participant

This document contains the necessary information regarding the processing of your personal data collected for the purpose of the recruitment process by us. If you are interested in the details, please read the below information.

Who is the controller of your personal data?

What is the purpose for processing your data?

We process your personal data to assess your qualifications to provide services or work for our company; assess your abilities and skills needed to perform services or work; choose the proper person to work with us or provide services to us. We process your data in order to enable you to participate in an individual recruitment process or in order to enable you to participate in future recruitment processes, provided that you give us additional consent by selecting a voluntary checkbox.

On what legal basis do we process your data?

The legal basis for processing your personal data is article 6(1)(b) of the UK GDPR, which relates to processing necessary to perform a contract or to take steps at your request, before entering a contract.

If you provide us with any information about reasonable adjustments you require under the Equality Act 2010 the lawful basis we rely on for processing this information is article 6(1)(c) to comply with our legal obligations under the Act.

The lawful basis we rely on to process any information you provide as part of your application which is special category data, such as health, religious or ethnicity information is article 9(2)(b) of the UK GDPR, which relates to our obligations in employment and the safeguarding of your fundamental rights. And Schedule 1 part 1(1) of the Data Protection Act 2018 which relates to processing for employment purposes.

The lawful basis for processing your personal data for the purpose of future recruitment processes is article 6(1)(a) of the UK GDPR which relates to the processing on the ground of consent expressed by selecting the optional checkbox.

How long do we process your data?

Some of our advertisements concern positions for which we are constantly recruiting. The selection of a given candidate does not close the recruitment process. In these cases, we process your personal data for the time necessary to select the best candidate, but no longer than 8 months from receiving your application.

In other cases, we conduct recruitment which is temporary and its purpose is to select only one specialist in a given specialization. In these events, we process your personal data for the duration of the recruitment process, but not longer than 3 months from its completion.

If you consent to the processing of your personal data in order to participate in future recruitment processes, we will process your data for 2 years from the day when the consent was granted, but no longer than until it is withdrawn. Who is the recipient of your personal data?

The recipient of your personal data, i.e. an external entity that participates in the processing of your data, will be our trusted subcontractors - IT service providers in the field of data hosting and business mail services, recruitment platforms through which we recruit and recruitment companies which participate in the recruitment process.

Your personal data may also be transferred to other entities related to Gravity9 in connection with business processes optimization.

What is the nature of providing your personal data?

Providing personal data indicated above is mandatory. We have the right to expect you to provide this data, as it is required to consider your candidacy. Failure to provide such data will result in your application not being considered in the recruitment process.

Providing other data is voluntary and does not affect the recruitment process.

What rights do you have in relation to the processing of personal data?

Below we present your rights related to the protection of personal data and the fact that we process your data.

The right to access data

You have the right to obtain information about the personal data we hold about you. By submitting an application for access to your data, you will receive information on the processing of personal data, including, in particular, the purposes and legal grounds for the processing, the scope of the data held, entities to whom personal data is disclosed and the planned date of their removal.

Right to rectification

You have the right to have your personal data rectified and / or completed without delay. It is our responsibility to ensure that our mutual communication is based on true, complete and current data.

Right to restriction of processing

You have the right to request us to restrict the processing of your personal data if you contest the accuracy of the data stored about you, if the processing takes place without a legal basis, or if you have objected to their processing.

Right to erasure

You have the right to request the deletion of your personal data stored by us, unless the maintenance of the data is necessary to ensure freedom of expression, freedom of access to information, fulfill a legal obligation, for reasons of public interest, for the purpose of reporting or defending against claims or for the purpose of claiming legal rights.

Right to information

If you have declared the right to rectify, delete or limit data processing, we will notify all recipients of your personal data about the method of rectifying, deleting or imposing restrictions on the processing of this data, unless it is impossible to perform or involves a disproportionate effort.

Right to data portability

You have the right to obtain a copy of the data provided to us, which will be sent to you or a third party in a structured, standard, machine-readable format. If you request that this data be sent to another data controller, this will be done, as long as it is technically possible. This right applies only to situations where we process your data on the basis of your consent or in connection with the performance of the contract.

Right to object

If your personal data is processed on the basis of our legitimate legal interest, you have the right to object at any time to further processing. We will consider your request in accordance with the rules in accordance with the law.

Right to withdraw consent

If your data is processed on the basis of consent, you have the right to withdraw it at any time with future effect. This will not affect the legality of the data processed so far.

Right to lodge a complaint with a supervisory authority

If the processing of your personal data violates data protection regulations or if your data protection rights have been violated in any other way, you can submit a complaint to the supervisory authority. Answer to your application

If you send us an application for the individual position, a response to the application will be given within one month of its receipt. If it is necessary to extend this period, we will inform you of the reasons for such an extension.

A reply to your application will be given to the e-mail address from which you have sent the application or to the e-mail you have provided in our form, and in the case of applications in a letter sent by regular post to the address indicated by you, unless the content of the letter indicates a desire to receive feedback to the e-mail address (in this case, please provide your e-mail address).

What other relevant information should you know about?

Your personal data may be processed by members of our personnel employed in our offices in the United Kingdom, London and in our second office in Poland, Krakow, where our related company is located. Your personal data may also be processed in Ireland, where employees of Gravity9 that may be involved in your recruitment process work.

Your personal data may also be processed outside the European Economic Area, in our offices in the USA, Canada and Colombia in the event when the members of our personnel located in these countries participate in reviewing your application.  

Transferring your data to related entities is always based on the applicable legal regulation or tool-data processing agreement or authorizations, adequacy decision, or standard contractual clauses.
